Privacy Policy
This policy explains what personal information SimplyLearnStuff collects, why we collect it, and what you can do about it. It is written to comply with the Protection of Personal Information Act, 4 of 2013 (POPIA).
1. Who we are
SimplyLearnStuff ("we", "us", "our") is a South African business providing online Microsoft 365 e-learning, data analytics, web and application development, live streaming and podcast studio hire. For the purposes of POPIA we are the responsible party for the personal information described below.

2. What information we collect
2.1 Information you give us
- Enquiry details — your name, company name, email address, telephone or WhatsApp number, the service you are interested in, and the content of your message, submitted through our contact form.
- Learner details — if you register on our Learning Portal, the account information you provide there (name, email address, and your course activity and progress).
- Client and project information — details you share with us so that we can quote for or deliver a service, including any business data you supply for an analytics project.
- Billing information — the details needed to invoice you. We do not store card numbers.
2.2 Information collected automatically
- Server logs — our hosting provider records standard technical data such as IP address, browser type, pages requested and timestamps. This is used for security and troubleshooting.
- Form metadata — when you submit the contact form we record the date, time and originating IP address alongside your message, purely as an anti-abuse measure.
3. Why we process your information
- To answer your enquiry and provide a quotation.
- To deliver the service you have engaged us for, and to support you afterwards.
- To create and administer your Learning Portal account and track course progress.
- To issue invoices and keep the accounting records the law requires us to keep.
- To protect our website and systems against abuse, spam and fraud.
- To comply with legal obligations.
We rely on your consent (given when you submit a form or create an account), the performance of a contract with you, our legitimate interests in running the business, and our legal obligations, as the lawful bases for this processing.
4. Marketing
We do not add you to a mailing list simply because you contacted us. If we ever introduce a newsletter, it will be opt-in, and every message will carry a one-click unsubscribe link.
5. Who we share information with
We do not sell your personal information, and we do not share it for anyone else's marketing. We share it only with operators who help us run the business, and only as far as they need it:
- Hosting and email providers who host this website, our subdomains and our email.
- The Learning Portal platform (Moodle) where course accounts and progress are stored.
- Payment and accounting providers who process invoices and payments.
- Professional advisors or authorities, where we are legally required to disclose.
Some of these providers may process data outside South Africa. Where that happens, we take reasonable steps to ensure the recipient is subject to laws or agreements offering protection substantially similar to POPIA.
6. How long we keep it
- Enquiries that do not become work: up to 24 months, then deleted.
- Client records and project files: for the duration of the engagement and up to five years afterwards, for support and warranty purposes.
- Financial records: five years, as required by South African tax legislation.
- Learning Portal accounts: for as long as the account is active, and for a reasonable period afterwards so that completion records remain available to you or your employer.
7. How we protect it
We apply reasonable technical and organisational measures appropriate to the sensitivity of the information: encrypted connections (HTTPS) on our websites, access controls and strong authentication on our systems, and a principle of collecting only what we actually need. No system is perfectly secure, but if a breach affecting your personal information occurs, we will notify you and the Information Regulator as POPIA requires.
8. Cookies and analytics
This website uses only what is needed to work correctly. We do not run advertising trackers on it. If we later add website analytics, this policy will be updated to name the provider and explain what is measured before it goes live. Our Learning Portal uses a session cookie to keep you logged in — without it, the portal cannot function. You can block or delete cookies in your browser settings at any time.
9. Your rights under POPIA
You have the right to:
- Ask what personal information we hold about you, and request a copy.
- Ask us to correct or delete information that is inaccurate, irrelevant, excessive, out of date or obtained unlawfully.
- Withdraw consent where we relied on it (this does not affect processing already carried out).
- Object to processing based on our legitimate interests.
- Complain to the Information Regulator.
To exercise any of these, email info@simplylearnstuff.co.za. We will respond within a reasonable period and may ask you to verify your identity first.

If you are not satisfied with how we have handled your information, you may lodge a complaint with the Information Regulator (South Africa):

11. Children
Our services are aimed at adults and at businesses. We do not knowingly collect personal information from a child under 18 without the consent of a parent or guardian. If you believe we have, contact us and we will delete it.
12. Changes to this policy
We may update this policy as our services change or as the law requires. The "last updated" date at the top always reflects the current version. Material changes will be highlighted on this page.
